We combined seven systems Lake Hāwea View relied on into one digital backbone for weddings and accommodation. Couples, planners, guests, and venue staff can now manage planning, bonds, access, and bookings from the same up-to-date platform.

Before this, a lot of the job was manual. Someone had to chase couples for bond cards by hand, email out door codes and wifi passwords close to arrival, and keep track, thread by thread, of who had signed their rental agreement and who still hadn’t sent their details. Every couple was its own scattered pile of emails and spreadsheet rows, and there was no single place to see where any of them actually stood.

Every couple was its own scattered pile of emails and spreadsheet rows, and there was no single place to see where any of them actually stood.

We built a Wedding Experience Hub where couples plan everything in one place: a timeline, supplier list, venue information, and an AI assistant trained on the venue’s own FAQs. The pre-arrival form captures everything about the wedding in one submission, sends it directly to the admin dashboard, and makes the information easy for the venue to share with staff, suppliers, and anyone else who needs it.
The security bond places and releases itself through Stripe, while property access codes and wifi details stay hidden until the correct point before arrival. Rental agreements are also read and signed inside the Hub, with the completed copy filed and emailed automatically. On the venue side, the admin dashboard replaces the spreadsheet.
Every couple or guest, agreement, bond, pre-arrival submission, access detail, message, FAQ, and staff task can be searched and managed from one screen. We also created public demos of both the Hub and admin dashboard, loaded with sample bookings so anyone can explore the real system without a login or touching guest data.

Couples are actually using the planning tools rather than logging in once and forgetting about it, and it’s giving them everything they need to plan a wedding without going back and forth with the venue for every little thing. We don’t have hard numbers yet on time saved or bonds processed automatically—that’s a full season away—but the early signal is that people like having it.
